CourierCop Help
FAQ and privacy
Common questions, privacy and data handling.
Using the app
Which couriers does CourierCop work with?
Shiprocket, Delhivery, Shadowfax, XpressBees, Ecom Express, DTDC, Blue Dart, Ekart, India Post and Amazon Shipping. You can also add any other courier as "Other". The app is for Indian stores that ship with Indian couriers.
Does it work for stores outside India?
No. A store must be set to India and INR. Other stores see a notice, and can email us to hear when their country is supported. You can still click Explore with sample data to see how the app works.
Does CourierCop send claims to the courier?
No. It collects the evidence and writes the letter. You copy the letter or download the PDF and send it yourself. Then you record the courier's answer and the money received in the app. See Claims.
Does the app change anything in my Shopify store?
No. It asks only for read access to orders, fulfillments, products and locations.
My bill shows many "unmatched" rows. Why?
A row is matched to a Shopify shipment by its AWB, or by order reference when that order has exactly one shipment. A row stays unmatched when the shipment is not in your store data. Common reasons: the order is older than the 60 days the app reads, the AWB was not added to the Shopify fulfillment, or the courier billed a shipment that is not yours. Unmatched rows are also rechecked after each sync, so a bill uploaded before its orders arrived fills in by itself. Billed AWBs that match no shipment can show as "Billed for a shipment not in your store".
Why is a finding marked "Rates not confirmed"?
Its rate card was worked out from your bill, not typed from your contract. Check the rates and confirm them. See Couriers and rate cards.
Why are my findings in "Needs review" and not "Claim-ready"?
Usually the rate card is not verified yet (it needs at least 20 billed shipments with 90% matching), or a product weight or box is missing. If your rate card isn't verified yet, check the finding and click Confirm. If it is ₹10 or more, it moves to Claim-ready. See Understanding findings and Products and boxes.
My bill could not be read.
Open the bill under Bills. If it says "Needs mapping", match the columns once. If it says "Needs data", the PDF had no table: attach the CSV or Excel line items. See Download your bill.
Can I upload the same bill twice?
No. The same file is refused. If a bill has a row that was already billed on another invoice, the app tells you.
The deadline looks wrong.
The deadline is the invoice date plus the claim window (7 days by default). Change the window in Settings or on the courier account. If the bill has no invoice date, the app uses the billing period end and says so. Add the invoice date to correct it.
Which emails does the app send?
Only the ones you turn on in Settings: a monthly report on the 1st, a daily digest of new claim-ready findings, and a warning for deadlines closing in under 48 hours. Each one can be turned off in Settings or with the unsubscribe link in the email. Digests and deadline warnings need the Growth plan or above.
What if I try the app and do not like it?
Uninstall it from your Shopify admin. See "When I uninstall" below.
How do I contact support?
Email hello@kdscaleagency.com. You can also use Help in the app menu.
Privacy and data handling
This is a short summary. The full policy is the CourierCop privacy policy, and it is the one that applies.
What does CourierCop read from my store?
- Store details: store name, domain, owner email and phone, country, currency and time zone.
- Orders (from 60 days before you install, then new ones): order number and dates, totals, payment method (to tell COD from prepaid), line items and weights, fulfillments, tracking numbers and courier.
- Delivery destination only: pincode, city, state and country. It does not store your customers' names, emails, phone numbers or street addresses.
- Products and variants: titles, SKUs and weights. Locations: names and pincodes of your warehouses.
What do I give the app?
Courier bills (CSV, Excel or PDF), rate cards, courier account details, packaging, settings, the business name, address and GSTIN you enter for claim letters, and claims with the documents you attach. When a bill is read, columns with personal details (names, phones, addresses, emails) are left out. The app keeps the shipment number, pincodes, weights and charges.
How is the data used?
Only to run the app for your store: match bills to shipments, work out what each shipment should have cost, show findings and reports, prepare claim letters, and send the emails you turned on. We do not sell data, use it for advertising, or share it with other merchants.
How long is data kept?
- Uploaded bill files are deleted 90 days after upload. The checked rows stay while you use the app.
- Claim documents and letters are deleted 90 days after the claim is finished.
- When a customer asks Shopify to erase their data, we remove the destination we hold for their orders.
When I uninstall
We stop reading your store at once. Shopify then asks us to erase the store's data (about 48 hours later) and we delete everything we hold for it. Backups roll over within 7 days.
Who else handles the data?
- Shopify, where the app runs and where your store's data comes from.
- Hostinger, our server host, where the app and its database run.
- Cloudflare, which carries traffic to the app.
- Resend, which delivers the app's emails.
How is it kept safe?
- Traffic is encrypted (HTTPS).
- The database, backups and stored bill and claim files are encrypted at rest.
- Shopify access tokens are stored encrypted.
- Server access is limited to our team by key.
- Each store sees only its own data.
Bill files and claim documents can contain consignee details exactly as the courier sent them, so they are deleted after 90 days as above. If a breach affects your data, we tell you and Shopify without undue delay.
Can I get a copy of my data or have it deleted sooner?
Yes. Email hello@kdscaleagency.com.
