CourierCop Help

Claims

A claim is your request to the courier to refund what it billed too much. CourierCop collects the evidence and writes the letter. You send it to the courier yourself (by email or in the courier's portal), then record here what happens. CourierCop does not email the courier for you.

Claims need the Starter plan or above. See Plans and billing.

Create a claim

  1. Upload your bill. We confirm the findings we're sure about and add them to a draft claim, one per invoice.
  2. Open Money to recover → Claims.
  3. Findings that use an estimate (for example default packaging) need one click: open the finding and click Create claim, then Add to claim.

One claim covers one courier invoice. It collects the evidence for every shipment on that invoice and writes the letter. If the finding used rates that are not confirmed, you are first asked "Do these rates match your contract?". Answer only after you check the rate card.

The claim starts as a Draft. It has a type (Weight, Zone, Surcharge, Rate, Duplicate charge or Other), a deadline, the shipments and an amount for each.

Deadline

The deadline is the invoice date plus the claim window. The default window is 7 days. Change the default in Settings, or set a different window on a courier account. If your bill has no invoice date, the deadline is based on the billing period end, and the claim says so. Add the invoice date to correct it.

A claim that is not submitted by the deadline becomes Expired. You can still mark an expired claim as submitted if you actually sent it on or before the deadline.

Before you send

  • Edit details (More actions) - change the type, deadline and courier reference.
  • Change the amount for a shipment, or remove a shipment. You cannot claim more than was billed.
  • Letter to the courier - read the subject and body. Use Copy subject, Copy letter, Letter PDF and CSV. The letter is rewritten from the evidence until you submit. Your business name, address and GSTIN from Settings appear on it if you filled them in.
  • Documents - add proof such as screenshots or sheets. PDF, JPG, PNG, XLSX or CSV, up to 10 MB each.
  • Mark ready - tells the claim it is ready to send. Back to draft undoes it.
  • Delete claim is possible only until you submit.

Sending

Send the letter and files to the courier yourself. Then on the claim click Mark submitted and enter the date you sent it.

Submitting freezes the evidence and the letter, and saves the PDF. After that you cannot change the shipments, amounts, type, deadline or documents.

Tracking

The claim shows a stage and a status.

StageMeaning
Not sentDraft or Ready.
With the courierSubmitted or Under review.
WonThe courier approved the full amount.
Partly wonThe courier approved part of it.
LostThe courier rejected it.

Statuses are Draft, Ready, Submitted, Under review, Approved, Partially approved, Rejected, Settled and Expired. Use Mark under review when the courier says it is looking into it. You can add the courier's own reference number in Edit details.

The Claims tab lists all claims and can be filtered by courier account, type and status. The History panel on a claim lists every change.

Record the courier's answer

Click Record the courier's answer and choose:

  • Approved in full.
  • Partly approved - enter the approved amount.
  • Rejected - enter the reason the courier gave.

Record money recovered

When the courier pays, click Record payment. Enter the amount received and the date it arrived (not a future date). You can record several payments for one claim. When the payments cover the approved amount, the claim becomes Settled.

Write off the rest

If the courier approved an amount but will not pay all of it, click Write off the rest. The claim closes as Settled with that amount written off, and you cannot record payments on it after that. The summary keeps the figures apart:

  • Claimed - what you asked for.
  • Approved - what the courier agreed to pay.
  • Recovered - what has arrived.
  • Outstanding - approved, not yet paid or written off.
  • Rejected - what the courier turned down: the claimed amount less what it approved.
  • Written off - approved money you closed the claim without receiving.

Recorded money feeds the Home overview, and Insights on the Growth plan and above. If the courier credits money back without a claim, the finding becomes Won or Partly won by itself.

Tips

  • Send claims early. Deadlines are short.
  • The claim success chance shown in the app is a rough guide based on similar past claims. It is not a promise.
  • Documents are removed 90 days after the claim closes. Keep your own copies.
