CourierCop Help

Couriers and rate cards

CourierCop compares each billed shipment with what your rate card says it should cost. So it needs two things: a courier account (who bills you) and a rate card (the prices they agreed with you).

Add a courier account

  1. Go to Setup and open the Couriers tab.
  2. Click Add courier account and choose the courier. The list includes Shiprocket, Delhivery, Shadowfax, XpressBees, Ecom Express, DTDC, Blue Dart, Ekart, India Post and Amazon Shipping. If yours is not there, choose Other and type its name.
  3. The account name fills in by itself. You can change it.
  4. Optional: a Claim window (days after the invoice date you can still file a claim) and a Client code (your account code with the courier). If you leave the claim window empty, the shop default from Settings is used.

One account is one provider you are billed by. Its bills and rate cards are checked under that account. The Free plan allows 1 courier account. See Plans and billing.

Add a rate card

Go to Setup, open Rate cards and click Add rate card. Choose the courier account and the date the prices start. Pick a date on or before the oldest bill you will check, so every shipment on it is covered.

Two optional fields help when one account covers many couriers or services. Courier is for aggregator accounts such as Shiprocket: the courier this card is for, as the invoice names it. Service is the service name on the invoice, such as Surface or Express. Leave them blank to use the card for every courier or service of the account.

Use the prices from your contract or rate sheet, before GST.

The simple form

The form shows only what most merchants need:

  • Prices start on - the date from which these prices apply.
  • Volumetric divisor - from your contract. Volumetric weight is length × width × height in cm, divided by this number. It is often 5000, sometimes 4000 or 2700. Check it, do not guess. A wrong divisor makes every weight wrong.
  • Minimum chargeable weight - lighter parcels are charged as this weight. Often 0.5 kg.
  • Zones and freight rates - a zone is a group of pincodes your courier charges the same rate for, such as Local, Metro or Rest of India. For each zone, enter the price for the first slab and for each additional slab.
  • Cash on delivery - the COD fee: a fixed amount, a percent of the order value, or both.

Advanced settings

Under Advanced - only if your contract differs (click Show advanced settings) you can change the end date, how weight is priced (a first slab plus extra slabs, or fixed weight brackets), COD and return rules, other charges, surcharges, GST and how zones are worked out. You can also upload a zone list here: a CSV with destination pincodes and zones.

A new rate card starts with the usual Indian courier terms: GST 18%, returns charged like the forward freight, COD fee reversed on returns, and one free delivery attempt. Open Advanced only if your contract is different. It opens by itself when a saved card differs from these usual terms.

Upload a rate sheet

Instead of typing every price, you can fill a sheet and upload it.

  1. On the rate card, click Upload rate sheet. The setup rates step has the same option.
  2. Click Download template. It is a spreadsheet with the columns Zone, First slab and Additional slab, with your zones filled in.
  3. Fill in the prices and upload it as CSV or XLSX, up to 1 MB.
  4. CourierCop fills in the grid. Nothing is saved yet. Check the numbers, then save.

If the sheet has a zone that is not on your card yet, you get a warning. Check it before you save.

Rates learned from a bill

No contract at hand? In setup, CourierCop can work out the rates from the bill you uploaded. For each zone it takes what most shipments were charged, before GST. You see them under "We worked these rates out from N shipments on your bill". Check them, change any that differ, then click Use these rates. Zones with little data are marked so you check them carefully.

Why findings say "Rates not confirmed"

Learned rates come from what the courier charged. If the courier billed too much on most shipments, the learned rates already include the extra amount. So CourierCop cannot be sure they match your contract.

Until you confirm, the rate card and every finding that uses it show Rates not confirmed - worked out from your bill. Findings on them cannot be claimed.

To confirm, open the rate card and compare the rates with your contract. Fix any that differ. Then click These rates match my contract. The label goes away and the findings can be claimed. You can also confirm from a finding when you create a claim ("Do these rates match your contract?").

Can we trust this rate card?

The Rate cards list shows a trust status. CourierCop recalculates up to 50 recent billed shipments using the courier's own weight and zone, so only your card is tested.

StatusMeaning
Verified90% or more of the shipments match, from at least 20 shipments.
Provisional (Not enough data)Fewer than 20 billed shipments so far.
Card probably wrongUnder 90% of the shipments match. A rate, the slab size or the divisor may be off. Findings stay as Needs review until you fix it.
Not checkedNo bills have been checked against it yet.

If a card that used to match starts to miss, you see "Your provider may have changed rates - check your card". Compare it with the courier's latest rate card. If the rates changed, click New version and enter the new prices from the date they changed.

Done-for-you setup (Scale plan)

On Scale, click Request rate card setup on Setup → Rate cards. Send your rate sheets or contract and we set up your rate cards for you.

Changing prices later

When your rates change, add a New version of the card from the new date. The old version ends the day before. Versions never overlap. Each shipment is priced with the version in force on its ship date.
